A Coco Cabana Recap of Planning a Stunning Event

Planning an event at Coco Cabana involves countless decisions, from design choices to budget management. 

We recently brought a client’s event to life and we couldn’t have been happier with the result.

So we have decided to create this post as a guide to help you create your planning process.

Planning a Stunning Event

Define the Vision

The client wanted a “dark tropical” or “moody tropical” aesthetic with a color scheme of reds, burnt oranges, pinks, and greens. 

So we made sure we prioritized minimal florals, dramatic drapery, and mood lighting to create an intimate atmosphere. 

Finalize Design Elements

20ft opaque ivory drapery was chosen for the ceremony to complement the client’s white dress and create a dramatic effect.

Bud vases and candles were arranged linearly on caterpillar-style reception tables for a minimalist look. Ceremony florals were repurposed for the bar, sweetheart table, and lounge areas.

Mood lighting with candles and tabletop lamps was used to enhance the ambiance.

Make Budget-Conscious Decisions

Red linen was chosen for cocktail tables, and one cocktail table was repurposed for the ceremony.

High cocktail chairs were confirmed with the venue to avoid unnecessary rental expenses.

Coordinate with Vendors

Vendors were booked only after finalizing the invoice and receiving payment to stay within budget.

Details like greenery for overhead décor, sweetheart chairs, and couch rentals were confirmed to ensure everything was prepared for the event.

Finalize Seating and Layout

A mix of comfortable couches and traditional chairs was chosen for seating.

The entrance table was designed as a multifunctional space for escort cards, guest books, and other items.

Floor plans were reviewed to finalize the layout, including drapery placement and seating arrangements.

Involve the Client

The client took charge of ordering and inputting names for escort cards to ensure accuracy.

Updated budget breakdowns were shared, and feedback was incorporated to align with the client’s priorities.

Prepare for Execution

Visuals in the Lookbook were updated to reflect final design choices, including reception table layouts and centerpiece arrangements.

Pictures of ivory drapes were shared with the client to confirm the material and color.
